The cheapest wedding quote is not always the best value. A low price may exclude travel, setup, overtime, editing, rentals, or important deliverables. A higher quote may include more service, clearer communication, and fewer surprise add-ons.

Examples use USD for simplicity. You can adapt the calculator to your local currency and vendor quotes. The goal is to compare full scope, not just headline price.

Compare the same scope

Before comparing two photographers, florists, DJs, planners, or rental companies, make sure the scope is similar. A six-hour photography package is not the same as a ten-hour package. A florist who includes delivery and setup is not the same as a pickup-only quote.

Quote detailWhy it mattersQuestion to ask

DeliverablesPackages may not include the same itemsWhat exactly do we receive?

Sample comparison

Vendor A quotes $2,200 for photography but includes six hours only. Vendor B quotes $2,800 for eight hours and an engagement session. If the wedding timeline needs eight hours, Vendor A may require overtime and become close to the same total.

Quote checklist

  • Ask for a written quote with inclusions and exclusions.
  • Separate required costs from optional upgrades.
  • Check cancellation, date change, and overtime terms.
  • Ask whether tax, travel, meals, delivery, or parking are included.
  • Record the full contract amount, not only the deposit.

Common mistakes

A common mistake is comparing screenshots or social media packages without asking for full terms. Another is choosing an upgrade before knowing whether the budget has room.

How to use the calculator

Use the calculator to create separate entries for each vendor quote. Add required add-ons as extra line items. If a quote has optional upgrades, enter them separately.
